Downloading Reports as CSV

Which reports can be downloaded as a spreadsheet, what you get, and what to check if the Download CSV button is missing.

Most reports can be downloaded as a CSV file, which opens in Excel, Numbers or Google Sheets. The download contains the same records as the report you just generated.

How to download

  1. Open the report and set the period and filters you want.

  2. Click Generate Report and check the results look right.

  3. Click Download CSV (on Medication Vaults it's Download As CSV). The file saves to your browser's downloads folder.

What you'll get

  • Most reports give you one file named after the report, e.g. incident_report.csv or first_aid_report.csv.

  • The Club/Guard Summary Report gives two files (activity and incidents), and Medication Activity gives three (one per record type). If your browser asks whether to allow multiple downloads, choose Allow.

  • Column headings in some files use LIMSOC's internal field names (for example unit_callsign) rather than the labels on screen. Some files, such as the Patrol Stats Summary, include extra columns that aren't shown on screen.

Reports without a CSV

The Dashboard and the Activity Log can't be downloaded. Use the equivalent report instead, e.g. Incident Report or Rescue Summary.

Watch out for

  • No Download CSV button? You need export rights for that kind of record, which are separate from being able to view the report. Ask your administrator.

  • Member Log Report downloads include at most the 100 most recent logs. Download smaller periods and combine them if you need more.

  • Personal information. First aid, rescue, incident and member log files can include patient, caller and member details. Keep them secure, don't email them around unnecessarily, and delete them when you no longer need them.
