Medication Activity and Vaults Reports

How to review medication stock checks and movements across units, and see the current contents of every vault.

If your organisation uses the medication register, the Reports menu has two extra reports: Medication Activity for what happened over a period, and Medication Vaults for what's in each vault right now. Both need medication reporting rights.

Medication Activity

  1. Go to Reports → Medication Activity. The page is headed Medication Report.

  2. Choose a period and filter by Unit (clubs and guards), Unit Type, Area or LGA. The Vaults dropdown doesn't currently narrow the results, so filter by unit instead.

  3. Click Generate Report.

Results are grouped into expandable lists, each with a count: Stock Check (balance, completed by, witness) and Record Movement (reason, vials in and out, balance, whether vials are expected to return, witness). You may also see a Record Case list for older records. Expand any row to see the vials involved, with medication type, batch number and expiry.

Click Download CSV (needs medication export rights). You'll get three files, one per record type, with one row per vial. Your browser may ask permission to download multiple files.

Medication Vaults

Go to Reports → Medication Vaults (Medication Vaults Overview). There are no dates or filters: it lists every vault you can report on with its Location, Name, Balance (number of vials) and Last Updated time. Click a column heading to sort.

Expand a vault to see its Vials and any Pending Vials that are out and expected back. Click Download As CSV to save the overview.

A vault with a low balance, or an old Last Updated time, is a good prompt for that club to do a stock check. See Recording a Medication Stock Check.
