Why You Might See Different Report Data

How your reporting and export rights decide which records appear in reports, and why two people can get different results.

Two people can run exactly the same report and get different results. That's by design: LIMSOC only shows you records you've been given the right to report on.

Your reporting rights

  • Reporting access is granted per organisation. Your roles give you rights in particular organisations, such as your club, a branch or the whole state, and cover every unit under them. Reports only include records for those units.

  • Each kind of record has its own right. Incidents, first aids, IRLs, rescues, beach closures, patrol statistics, member logs, the radio log and medication are all separate. You might be able to report on incidents but not first aids.

  • Downloading is a separate right again. If you can see a report but there's no Download CSV or Download (PDF) button, you have the report right but not the export right for that report.

What that looks like

  • The Reports and Statistics menus show every report to everyone. If you open one you don't have rights for, it simply comes back empty. There's no error message.

  • On the Dashboard, each tile and chart uses its own right, so some can show figures while others show zero.

  • If you filter a report to a unit outside your organisations, you'll get no rows, even if that unit had activity.

Getting more access

If you need to report on another club or kind of record, or need to download reports, ask your club administrator or your state LIMSOC administrator to update your roles. Tell them which reports and which organisations you need.
